1. The Assignment:
Kilimo Trust Uganda seeks interested and eligible local service providers for the establishment of a long-term framework agreement for provision of catering services to its Kampala Office in Uganda.
2. About Kilimo Trust
Kilimo Trust (KT) is an independent regional agricultural development organization working on agriculture for development across the East African Community (EAC) Region. It is registered in the Republic of Uganda and implements projects across all EAC Partner States.
The core business of Kilimo Trust is to support the transformation of food and nutrition security in the EAC Region away from high-risk subsistence farming into lower-risk trade-based systems.
3. Scope of Services
Kilimo Trust seeks qualified and experienced catering service providers to provide professional catering services for meetings, workshops, trainings, conferences, staff engagements, and other official organizational events at the Kampala Office.
The selected service providers shall be expected to:
- Deliver quality, hygienic, and timely catering services.
- Observe high standards of food safety, cleanliness, and professionalism.
- Demonstrate capacity to serve both small and large groups;
- Adhere to Kilimo Trust policies, safeguarding principles, and operational standards.
4. Requirements
This call is open to legally registered companies operating in Uganda. Interested vendors will be required to submit the following documents:
a) Certificate of Incorporation/Registration
b) Valid Trading License
c) Valid URA Tax Clearance Certificate
d) Company Profile indicating experience in catering services
e) Evidence of being in catering business for at least five (5) years
f) Copies of at least three (3) previous contracts/LPOs from reputable organizations preferably NGOs, development partners, or corporate institutions
g) At least three (3) reference letters from clients
h) Valid food handling and medical certificates for staff involved in food preparation and service
i) Proposed menu and price list denominated in Uganda Shillings
j) Evidence of compliance with health and safety standards
k) Physical business address and contact details
5. Evaluation Criteria
Applications will be evaluated based on:
- Company experience and technical capacity.
- Compliance with statutory requirements.
- Quality and diversity of menu options.
- Client references and past performance.
- Competitiveness of pricing.
- Ability to deliver timely and professional services.

6. Mode of Application
All interested vendors must submit their:
- Expression of Interest (EOI),
- Technical Proposal,
- Financial Proposal,
- Required statutory documents,
- Company Profile, and
- Reference documents
via email to procurement@kilimotrust.org not later than 25th May 2026 at 3:00 PM EAT. The email subject must clearly indicate: “Provision of Catering Services – Kampala Office”. Late submissions shall not be accepted.
7. Additional Information
Kilimo Trust reserves the right to accept or reject any application without assigning any reason thereof and is not bound to award the contract to the lowest bidder.
